Send an assessment to suppliers

This overview includes the necessary steps to send an assessment to your suppliers. You may need to gather more information before sending, such as reporting period dates and supplier groups.

Pre-send checklist

Use this checklist as a guide to ensure your launch is successful.

Preparation Actions
Guidance Are your guidance resources complete and attached to the assessment?
Supplier Groups Are your suppliers grouped for the send?
Supplier notification Have you notified your suppliers about the assessment?
Sourcing notification Are your sourcing managers prepared with answers to FAQs?
Send email text Have you finalized the SupplyShift invitation email text?
Due date Have you set a due date for submission?
Reporting period What is the response reporting period?
Multi-tier Would you like to capture multi-tier information? Should suppliers input data for tiers below them?
Rating profiles If scoring is shown to suppliers pre-submit, are custom ratings finalized?
Auditors If it's an audited assessment, have auditor accounts been added?
Segments Optionally, have you created tags to send with your assessment?

Send a single-tier assessment

  1. Click the menu icon  in the top left corner.
  2. Click Assessments.
  3. Click the name of your assessment to open.

  1. Click the Send tab below the assessment title.
  2. Select the Reporting period and Due date
  3. Click Select Groups.

    The Select suppliers groups dialog box is displayed.

  1. Click Select.
  2. Add your custom text to the Email Message.

    You can customize the Subject and Body of the email message as needed or use the default text.

  1. Click Preview email to review the message.
  2. Click Advanced options.

  1. Optional: To add Segments, enter the segment name in the provided field.

    This is optional for all assessment sends. Review the article Add segments to assessments to learn more.

  2. Optional: Select Receive Submission notifications to receive email notifications when a supplier submits the assessment.
  3. Optional: Mute automated reminders.
  4. Optional: Select Show Ratings Pre-Submit to allow suppliers to see ratings and scores before submitting the assessment.
  5. Optional: Click Auditor options if the assessment is to be completed by an auditor.

  1. Choose Auditor from drop-down list.
  2. Choose Other to add contact information for an auditor not listed.

    Check the box ‘Show supplier their audited data?’ to allow suppliers to view the assessment on their Assessment responses page.

  3. Click Send.

    Your suppliers are notified via email to respond to the request.

Send a multi-tier assessment

By allowing suppliers to forward an assessment to their suppliers, you can collect data from multiple tiers below your first tier of suppliers. Each time you send an assessment, you have the option to configure multi-tier forwarding.

If you have already sent the assessment to suppliers, please contact supplyshift-support@sphera.com, and we can make the necessary administrative changes.

  1. Click the menu icon  in the top left corner.
  2. Click Assessments.
  3. Click the name of your assessment to open.

  2. Select Multi-tier.
  3. Optional: Select Input supplier data to allow the suppliers to answer the assessment for their suppliers.
  4. Optional: Select Receive Submission notifications to receive email notifications when a supplier submits the assessment.
  5. Optional: Mute automated reminders.
  6. Optional: Select Show Ratings Pre-Submit to allow suppliers to see ratings and scores before submitting the assessment.
  7. Click Send.

    You are prompted to confirm sending your assessment to your suppliers.

You can now use the Assessment tracker to gain more insight on the submission status for your multi-tier supply chain.
